SENIOR AUTOMATION ASSISTANT TO CHIEF REVENUE OFFICER

ABOUT THE ROLE:

Our sales organization is scaling quickly, and we need a Senior Automation Assistant who can keep pace. You’ll be the right hand to the Co-Founder and Chief Revenue Officer, focused on automating as many of the CRO’s and sales team’s tasks as possible by finding, integrating, and deploying AI solutions across workflows — from order forms and Hubspot management to real-time note-taking, call transcripts, and prospect research. Where AI cannot fully automate processes, you will step in to handle manual tasks efficiently. You are equal parts tech innovator, organizer, and executor, able to move quickly, solve problems creatively, and embed AI-powered efficiencies throughout the sales organization.

KEY RESPONSIBILITIES:

Sales Automation & Administration

  • Identify and implement AI tools to automate follow-ups on CRO’s sales calls, prospect research, and data entry into Hubspot
  • Build and maintain AI-driven workflows for generating quotes, order forms, and sales documentation & develop process across sales team as directed by CRO
  • Maintain pristine Hubspot CRM data with automated hygiene checks and alerts
  • Manage calendar, travel, and meeting logistics for the CRO and Sales team using scheduling and communication tools

AI Integration & Innovation

  • Continuously scout and deploy AI technologies to streamline sales processes, including real-time transcription and note-taking during sales calls
  • Leverage AI for research on prospects to deliver actionable insights to the sales team
  • Create repeatable playbooks for automation and process improvements across revenue operations

Finance Coordination

  • Support commission tracking and invoice management by automating reporting and reconciliation workflows where possible
  • Manage accounts receivable processes with automated reminders and tracking systems

Hiring & Onboarding

  • Automate parts of the recruiting workflow, including resume screening and interview scheduling
  • Prepare AI-assisted onboarding experiences and training for new sales hires

Sales Project Management & Coordination from CRO

  • Partner with the CRO on research, growth initiatives, and strategic outreach, maximizing AI-driven data insights
  • Lead short-term projects with an emphasis on AI tools, automation, and process rollouts
  • Track and report weekly KPIs for Sales Ops with automated dashboards
  • Act as the bridge connecting Account Executives, Customer Success, Field Sales, Sales Leadership, and Finance, using AI-enabled collaboration tools

QUALIFICATIONS:

  • Experience: 2–5+ years in sales support, executive assistance, project management, or automation-focused roles, ideally in SaaS or GovCon
  • Automation & AI Savvy: Proven ability to research, deploy, and maintain AI tools to automate workflows and improve operational efficiency
  • Financial Coordination: Experience with accounts receivable or billing automation a plus
  • Hiring Exposure: Familiarity with applicant tracking systems and recruiting automation preferred
  • Project Management Skills: Strong organizational skills managing multiple stakeholders and deadlines
  • Tech Savvy: Deep familiarity with CRM systems (Hubspot), e-signature platforms, Google Workspace, AI tools (transcription, research, scheduling), and project management software like Linear
  • Communication: Clear, concise, and capable of engaging with senior leaders and external partners
  • Entrepreneurial Mindset: Self-starter who thrives in a fast-paced startup, thinking 3 steps ahead; flexible and willing to do whatever it takes

COMPENSATION:

$60 - 90k Total Compensation + meaningful equity in a well-funded, fast growing startup
