Summary of Duties:

The Consulate General of Canada in New York is part of a network of over 260 Canadian government diplomatic and trade offices in about 150 countries. It provides a variety of services, including consular services, diplomatic relations, and international business development. 

This position works within the international business development team as part of the Canadian Trade Commissioner Service – a worldwide network of professionals in international business development, with preferred access to business knowledge and contacts, who are committed to advancing Canadian economic interests abroad, including trade promotion and investment attraction.

The Trade Program Assistant works with and reports to the Consul & Senior Trade Commissioner to deliver client‐focused services and to support the team in carrying out its mandate.

Responsibilities include, but are not limited to:

 

  • Serving as a key point of contact to provide clients with information on opportunities and reputable local networks, or redirecting inquiries to other team members
  • Providing administrative and financial support services related to contracts and partnership agreements, financial reporting, budget monitoring, expense claim documents, and information management as required
  • Providing administrative support and logistics coordination for official business events or high-level visits of senior officials and business delegations from/to Canada
  • Collecting, inputting, and analyzing service and performance data using the organization’s Client Management System
  • Tracking upcoming events and coordinating the forward calendar with other programs at the Consulate General of Canada
  • Supporting communications, including via social media
  • Performing research and analysis as needed.

Area of Selection:

ESSENTIAL QUALIFICATIONS:

  • Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Education:

  • Candidates will be required to provide proof of the completion of their education.
  • College diploma or postsecondary school technical or professional diploma attesting to two or more years of full-time studies in the fields of business administration or communications, or
  • An acceptable combination of post-secondary education and a minimum of two years of relevant professional experience

 

Language:

  • Advanced proficiency level in English (reading, writing, comprehension, and speaking). 

  Experience:

  • Minimum of one year of recent experience* in administrative processes and financial administration, such as tracking budget resources, and processing claims/invoices/payments
  • Recent experience* in event planning and execution, as well as supporting projects, initiatives, and activities

*Experience must be within the last five years. 

RATED REQUIREMENTS:

The Rated Requirements are part of the essential qualifications and relate to knowledge, abilities, and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations, and/or psychometric assessment.

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  • Ability to work in French
  • Certification related to fostering diversity, equity, and inclusion;
  • Experience and/or certification related to business process management
  • Experience working in a diplomatic mission or an intergovernmental organization.
  • Knowledge of the financial system SAP. 

 

Operational Requirements:

  • Normal hours of work for this position are in accordance with the Locally Engaged Staff regulations of 37.5 hours per week.
  • Location of work: Employees must be able to work in person in the office at the Consulate General of Canada in New York.
  • Occasional overtime, including evenings and weekends, may be required with advance notice.
  • Occasional travel may be required, with advanced notice. 

 

Conditions of Employment:

Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.

Security screening: Obtain and maintain a Reliability Status (security level), which includes a criminal and credit background check from the Government of Canada covering the entire employment period.
